This website is hosted and maintained on behalf of PREMIER Network by Medical Simulation Services LTD, who act as a data processor under a data processing agreement.
2. What data we collect and why
Abstract submissions
When you submit an abstract for the PREMIER Conference, we collect your name, email address, institution, role, country, co-author details, and the content of your abstract. This information is used to manage the abstract review process, communicate decisions to you, and — if accepted — to prepare the conference programme. The legal basis for this processing is the performance of a contract (your agreement to participate in the abstract submission process).
Contact form
When you use the contact form, we collect your name, email address, and the content of your message. This is used solely to respond to your enquiry. The legal basis is our legitimate interest in responding to communications directed to us.
Conference interest & waitlist
If you register your interest or join a waitlist, we collect your email address to keep you informed about conference registration and updates. The legal basis is your consent, which you may withdraw at any time by contacting us.
Admin accounts
For authorised administrators of this website, we store your name, email address, encrypted password, and two-factor authentication credentials. This is necessary for the operation of the site and is processed on the basis of legitimate interest.
3. How we store your data
Your data is stored in a database on a UK-based server operated by Medical Simulation Services LTD. Encrypted backups are maintained using Storj, a GDPR-compliant cloud storage provider that encrypts all data end-to-end before it leaves our infrastructure. No data is transferred to countries outside the UK or European Economic Area.
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure, including encrypted storage, two-factor authentication for administrative access, and regular backups.
4. Third-party processors
We use the following third-party services to operate this website:
- Resend— used to send transactional emails (submission confirmations, decisions, notifications). Resend processes email addresses and message content as necessary to deliver emails on our behalf.
- Cloudflare— used to route web traffic to our server. Cloudflare may process IP addresses and request metadata as part of network routing.
- Storj— used for encrypted cloud backups. Data is encrypted before upload and Storj cannot access the content of backups.
We do not use any advertising, analytics, or social media tracking services on this website.
5. How long we keep your data
Abstract submission data is retained for the duration of the relevant conference year and for a reasonable period thereafter for archival and reference purposes. Contact form messages and waitlist registrations are retained only as long as necessary to fulfil the purpose for which they were submitted. You may request deletion of your data at any time (see section 6).
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data (where no overriding legal basis applies)
- Object to processing based on legitimate interests
- Withdraw consent at any time (where consent is the legal basis)
